Job Description

- In coordination with our Freight Forwarders, and our India and China teams, create or complete Ship ID’s for every overseas shipment.
- Maintain all documentation, and verify all paperwork received from suppliers is accurate, and update our ERP as necessary
- Submit documents to A/P and receiving personnel.
- Collect and manage all import documentation into electronic folders
- Continually keep our Global Shipments database of shipments up to date with correct ETA’s, closing out completed shipments, and ensuring all data is correct for every shipment.
- Monthly, work with Accounting to verify our on the water amounts.
- Identify and troubleshoot shortages on any import shipment receipts.
- Track and update accurate ETA information for every shipment in Downlite’s Global Shipment system and Purchase orders.
- Create Ship ID’s and process paperwork for Direct Shipments (shipments from our vendors direct to customers).
- When airfreight is requested, work with air forwarders to get several quotes
- Maintain a record of all airfreight shipments, and cost. All approved air freight shipments are recorded in a master air approval log.
- Communicate the approved air forwarder contact details to suppliers.
- Troubleshoot any issues with air shipments
- Maintain accurate ETA’s in our system for airfreight shipments, and communicate any major updates to relevant parties at Downlite.
- Check all Customs entries to make sure the proper classification was made, and the proper amount of duty is paid
- Work with Custom Brokers to correct entries or make post entry corrections as necessary, to either get duty refunds, or pay the correct amount of duty, as needed.
- Maintain all Customs entry documentation as required by US Customs, in an organized fashion, on our server and in our ERP.
- Assist with Customs Classification questions as needs arise for new products.
- Manage Downlite’s CTPAT program, including oversight of all procedure modification, annual reviews of our CTPAT procedures, or anything CTPAT related.
- Report to Accounting, on a set day every month, the amount of duty payable to US Customs via our PMS statement.
- Continuously work to make sure we have the right freight forwarders in place. Identify and test new freight forwarders as needed.
- Manage our relationship with all of Downlite’s logistics providers (freight forwarders, truckers, small package delivery, customs brokerage, etc). As needed, work with those logistics providers to troubleshoot any issues as necessary.
- Negotiate and rates with our nominated small package carrier (ie Fed Ex). Publish those rates internally to Downlite.
- Negotiate annual or other fixed rate contracts for ocean freight, as needed.
- Negotiate as possible ocean rates or air rates on a shipment by shipment bases, in order to ensure Downlite’s cost of logistics is as low as possible.
- Communicate within Downlite, and with our logistics providers, as necessary on any urgent shipments.
- Develop and document Logistics related procedures
- Report monthly to Accounting
- Report as necessary to upper management on Logistics
- Coordinate outbound small package delivery
- Research of any and all risks, costs, and market conditions relating to Logistics
- File Claims with Steamship Lines or Forwarders on any damaged or lost or damaged merchandise in transit.
- 2+ years experience working in Logistics or Freight forwarding
- Experience working for a manufacturer, importer, or freight forwarder, with job experience handling shipments, invoices, deliveries, etc.
- Proficient with MS Excel, Outlook, and Word
- Experience working with US Customs and customs brokers is a plus.
- A college bachelor’s degree is preferred, but not necessary. Years of relevant experience can be in lieu of a college degree.
- Very strong organizational skills are a must

- Office equipment such as copiers, fax machines, scanners, and telephone system.
- Additional Mental Requirements: compare, decide, direct, problem solve, analyze, instruct, and interpret
- Digital dexterity and hand/eye coordination in operation of office equipment
- Ability to sit at computer for long periods of time
- Light lifting and carrying of supplies or courier shipments
- Work typically performed inside a climate controlled manufacturing facility
- Sometimes there can be work inside non-climate controlled environments and/or outside via U.S. or Overseas
